Materials will be available to students during the first week of classes for Reserve Request Lists received before the posted deadline.
Lists received after the deadline will be processed in the order in which they are received. As a result, material submitted after the deadline may not be available to students during the first week of the semester.
If
your list includes titles that must be ordered by the
library, please submit that information as soon as possible
to allow ample time for the arrival of the new material.

Reserve Request Form

The reserve request form must be used when submitting lists. There are two ways to submit a request form.
You may download the Request Form which is available in Word format. When prompted, save the file to your computer. You will then be able to fill out the form and submit it via e-mail to
. Please label your files as your last name and the course number (e.g. SMITH100).
You can also submit a print version of the reserve request form to the reserve desk. These forms are available at the desk and can be downloaded in .pdf format above. To print the form from your computer, you will need Adobe Acrobat 5.0 installed on your computer. Be sure that your printer settings read "Print As Image" and not "Print to Page" and that you select Legal as your paper size.
Request Guidelines
Filling out the Form:
An instructor must fill out one list for each course he/she is teaching. Each form should include the instructor's name, the course title and number, the instructor's department, and the number of students in the class.
The instructor must also provide AU extension and/or home phone number, and an e-mail address.
Item Limits:
There is a 30 item limit for shelf reserves and a 25 item limit for
e-reserves.
Reserve Items:
When filling out the form, the following information must be provided for each item.
Books: author/editor's name, full title of the book, publisher/date, and pages (if applicable)
Periodicals: author's name, full title of the article, full title of the journal, volume number and/or date of publication, pages
Please do not substitute a syllabus and/or reading list for a completed request form.
Also, we will not copy more than 25% of a copyrighted volume to place on the reserve shelf or on e-reserves.
Ordering Books:
Some books needed for reserves must be purchased and will therefore be ordered on a rush basis. Instructors requesting these titles will be notified that the titles have been ordered. It may take six to eight weeks to obtain books, even when rush ordered.
Personal Copies:
Instructor's may also submit their own personal copies of books, articles, and/or course packets. To ensure that these items are correctly returned, all materials should be marked with the instructor's name and department.
You must pick up your personal copies or contact the reserves staff to make other arrangements no later than six months after the semester has ended. Otherwise, books and photocopies will be donated to the library.
Although the reserves staff takes every precaution to ensure the good condition of personal copies, there is a risk involved with placing these materials on reserve. Personal copies will be available for instructor's to pick up at the end of each semester.
Loan Periods:
When materials are placed on reserve, the instructor may choose from one of the following loan periods: two-hours, one-day, or three-days. Instructors may also indicate whether two-hour loan items are permitted to leave the library. When more than one instructor requests the same item, the shortest loan period will prevail (this does not include personal copies).
Copyright Information
The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. In accordance with this code, the following guidelines apply to all course reserve lists.
- Photocopied materials may be placed on the Reserve Shelf and e-reserves for one semester under the "fair use" clause. However, if these materials are to be used for additional semesters, copyright permission must be obtained. If the library cannot obtain permission through the Copyright Clearance Center, the Reserve staff will assist professors in obtaining copyright permission from the publishers for those lists submitted before the posted deadline. For lists submitted after the deadline, instructors are responsible for obtaining written permission from the publisher.
- The purchasing limits for shelf reserves are $30.00 per article/chapter. For e-reserves, the purchasing limits are $100.00 per article/chapter and $500.00 per course.
- Photocopied materials submitted for course reserves must include a copy of the source's title page and copyright information page.
- Up to 25% of a book (by its total pages) can be photocopied and placed on the Reserve Shelf or e-reserves at one time.
- Up to three articles by varying authors from one journal or newspaper can be photocopied and placed on the Reserve Shelf or e-reserves at one time.
- For every 10 students in a course, the library can place one copy of an item on the reserve shelf. The maximum number of copies is five.
Electronic Reserves
The library's e-reserves are available through Blackboard. With this service, materials are scanned into a database and added to the course's Blackboard page.
E-reserves are accessible from any computer with Internet capabilities, thus providing students with 24-hour access to reserve materials.
Filling Out the Form:
To place an item on e-reserves, the instructor must provide the full source and citation of the item. He/she must also mark off the column labeled Eres. Items can be placed on both the shelf and e-reserves. (click here to access form)
Photocopied materials should be submitted on letter sized paper and single-sided for scanning purposes.
Item limits:
There is a 25 item limit per course for e-reserves.
Course Page Information:
Once an e-reserves list has been processed, the course page will be linked by reserves staff to the instructor's personal Blackboard page. An e-reserves folder will be created and placed under Course Documents. The e-reserve items which were included on the request list will be placed in this folder.
Please let the reserves staff know if there are any changes that need to be made to the e-reserves folder. If the instructor would like to add additional links to his/her course page, we ask that they be included in a separate file.
Course Rosters:
The roster for a course will be added to the course page when it is established. Roster additions and/or subtractions made after the course has been populated must be reported to the
