Exhibit Timeline
Approximately 3 months prior to the desired installation date:
- Submit Exhibit Proposal Form to the Library Exhibits Team in keeping with the University Library Exhibits Policy
- Following review of the proposal, the Exhibits Team will contact the projected exhibitor to tell them whether the Team would like to consider the exhibit further.
2 months prior to the desired installation date:
- The Team will ask the exhibitor to meet to clarify any questions or concerns both parties may have. Exhibitors shall bring the materials they hope to display to this meeting
- If the Exhibits Team decides to proceed with the exhibit, the Team and exhibitor will establish a finalized time frame for the arrangement, installation, and dismantling of the exhibit. Exhibits may be display for up to 6 months. A coordinator from the Exhibits Team will be appointed at this time.
6 weeks to 1 month prior to the desired installation date:
- The exhibitor will provide a sample, matted photograph or other exhibit-ready item for the Exhibits Team to approve.
- The exhibitor will submit a descriptive list of items for exhibit indicating value for University insurance coverage. As stated in the University Library Exhibits Policy, the list of items should include: 1) description, 2) approximate value as determined by the provider of the item, 3) the owner's name and address, and 4) the length of the period the item will be on loan to the University Library.
- The exhibitor will submit, on disc and in hard copy, draft captions, descriptions, and other written materials including a title. Content should be accurate, based on authoritative sources, and documented with bilbiographic citations. Written materials should provide context and background appropriate for a general audience and create a cohesive narrative for the exhibit.
- The exhibitor will make available to the Exhibits Team an English translation of any foreign language text used in signs, captions, or explanatory text.
- The Exhibits Team will research the bibliography and perform any other agreed upon tasks.
2 weeks prior to the desired installation date:
- The exhibitor will bring in all posters, documents, artwork or other artifacts (mounted as necessary) to develop a layout plan
- The Exhibits Team will produce the final bibliography, labels, captions, comment book, and title for display
The date agreed upon for installation:
- The exhibit will be entirely mounted by the exhibitor and the Exhibits Team and any handouts or bibliographies will be made available
The date agreed upon for dismantling the exhibit:
- Both the exhibitor and the Exhibits Team will take down the exhibit
- Insurance coverage will cease.
